CPLP Summer Breeze Festival
Vendors Terms and Conditions
By applying to participate in the CPLP Summer Breeze Festival 2025 as a Vendor, you agree to the following terms and conditions:
- Application & payment
. All vendor applications and supporting documents, must be submitted by Friday, 16th May 2025. Any application received after the deadline, won’t be considered.
. Confirmation of your pitch will be sent once your application is reviewed and approved.
. Full payment must be made by the deadline stated in this form to secure your place.
- Pitch allocation & setup
. Pitches are allocated based on the information provided in your application.
. Expanding beyond the allocated pitch space (e.g., for tow bars, extra equipment, canopies, or BBQs) may result in additional charges.
. No pitch sharing is allowed unless approved in writing by the event organisers.
. Bringing your own gazebo or tent unit will not reduce the cost of your pitch. Please note that no additional vehicles (including fridges or chillers) can be parked next to your stall. Parking will be available off-site.
. Setup must be completed by 12:30pm on the day of the event. Vendors must be ready to trade by 1:00pm.
- Insurance
. All vendors must hold valid Public Liability Insurance with a minimum cover of £5 million.
. A copy of your insurance certificate must be submitted with your application.
. Lusoconnectionuk CIC accepts no responsibility for any damage, loss, or injury caused by vendors or their products/services.
- Power and refrigeration
. Power supply is guaranteed. If required, please indicate this clearly on your application form.
. Vendors are responsible for bringing any necessary equipment, including generators and refrigeration units.
. All electrical equipment must be PAT tested and compliant with safety regulations.
- Security
. While the event team will oversee general site supervision, vendors are fully responsible for their own stalls, stock, and personal belongings.
. Lusoconnectionuk CIC will not be liable for any loss, theft, or damage during the event.
- Trading rules
. Trading hours are from 1:00pm to 9:00pm.
. Vendors must remain open throughout the event unless otherwise instructed.
. No amplified sound systems or generators are permitted without prior approval.
- Waste & cleanliness
. All waste must be disposed of responsibly. Bins will be provided, but vendors must take any excess waste with them.
. Pitches must be left clean and tidy. A cleaning fee may be charged for any pitch left in poor condition.
- Parking & vehicle access
. Vehicle access is limited to designated unloading times.
. No vehicles (including chillers or trailers) are permitted to remain on-site during the event unless agreed in advance.
. Parking is available off-site.
- Liability
. Vendors are liable for any damage they cause to the venue or surrounding property.
. By taking part, vendors agree to indemnify Lusoconnectionuk CIC against any claims arising from their participation, products, or conduct.

- Cancellations & refunds
. Cancellations made after payment are non-refundable.
. In the event of cancellation by the organisers, you will be notified as soon as possible, and a refund or credit will be offered.
- Behaviour & conduct
. All vendors are expected to behave respectfully and professionally at all times.
. Discriminatory, aggressive, or unsafe behaviour will not be tolerated and may result in immediate removal from the event.
- General Data Protection Regulation (GDPR)
. Personal data collected as part of your application will be used solely for managing the event.
. Your information will be stored securely and not shared with third parties without your consent, unless required by law.
. You have the right to access, correct, or request deletion of your data at any time.
- Governing Law
. These terms and conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
. Any disputes arising will be subject to the exclusive jurisdiction of the English courts.
